Otero County Clerk of Court Office
The primary local court-record clerk for Otero County District Court is located at 1000 New York Ave., Alamogordo, NM 88310. The clerk's office phone is 575-437-7310, fax is 575-812-5090, and email is oterodistrictclerk@nmcourts.gov. The Twelfth Judicial District lists a separate records request email, 12thdistrictresearch@nmcourts.gov, and copy requests through Ext. 112. The office hours in the research file are Monday through Friday, 8 a.m. to 4 p.m., open during lunch.
Otero County District Court is part of the Twelfth Judicial District with Lincoln County. The District Court clerk handles the local court file for civil, domestic, felony criminal, juvenile, mental health, lower-court appeal, and contested probate matters that belong in District Court. Public case data may appear in New Mexico Case Lookup, but public Case Lookup does not provide documents. For pleadings, certified orders, exemplified copies, audio recordings, older files, or unclear case numbers, the District Court clerk is the local fallback.

Otero County Court Clerk Duties
The Otero County Clerk of Court role is narrower than the Otero County Clerk role. Court clerks maintain case files, docket entries, pleadings, orders, judgments, copy requests, and certification requests for court cases. The county clerk records instruments, issues marriage licenses, administers elections, and serves as ex-officio clerk for probate and the Board of Commissioners. That split is important because a deed, marriage license, or recorded instrument request should not be sent to the District Court clerk.
- Answer District Court case-file and copy questions.
- Route requests for civil, domestic, criminal, and contested probate court documents.
- Provide plain, certified, and exemplified copies when available and allowed.
- Process audio-recording requests through the Twelfth District records request form.
- Direct users to Case Lookup, re:Search NM, or judiciary IPRA when those channels fit the request.
The county clerk page is still relevant because it shows the other Otero records office that handles non-court public records.
Use that distinction before ordering copies, because court records and recorded instruments are held by different custodians.
Request Otero County Court Copies
Certified copies are used when a court document must show that it came from the court file. A plain copy may be enough for personal review, but a certified order, decree, judgment, or pleading may be needed for another agency, a school, a title matter, a legal filing, or proof of disposition. The research file lists the District Court copy request phone route as 575-437-7310, Ext. 112, and the Twelfth District records request email as 12thdistrictresearch@nmcourts.gov.
- Search Case Lookup first if the case number is not known. Use the Otero District Court location when the case was filed in District Court.
- Identify the exact document needed, such as final decree, judgment, order, complaint, sentence, or full case file.
- Send the Twelfth District records request form or contact the clerk with the party names, case number, year filed, case type, and copy type.
- Ask whether plain, certified, or exemplified copies are required. Certification and exemplification add separate fees.
- Pay by an accepted District Court method and follow the clerk's instructions for pickup, mail, or email delivery.
Note: The clerk's payment rules do not allow personal checks for District Court clerk payments.
Otero Court Request Form Fields
The Twelfth District records request form is the structured route for case-file copies and hearing audio. It asks for the information the clerk needs to locate the file and price the request. If the request is incomplete, the clerk may need to call or email before processing. For older records, cases before statewide court automation, or files not visible online, a complete form is especially useful.
| Field | Required | Notes |
|---|---|---|
| Name, date, mailing address, phone, email | Yes | Requester contact details for billing and response. |
| Plaintiff and defendant | Useful | Party names help identify the case file. |
| Case number and year filed | Useful | Best way to avoid a wrong-file search. |
| Case type | Useful | Examples include Criminal, Divorce, and Name Change. |
| Entire court case file checkbox | Optional | Use only when the full file is needed. |
| Document title/date rows | Optional | Rows include Copy, Certified, Exemplified, and E-mail checkboxes. |
| Audio format and hearing purpose/date | Conditional | FTR, Windows Media, and MP3 options were captured. |
Otero County Court Clerk Fees
District Court fees and court copy fees are published by the Twelfth Judicial District. The clerk accepts cash, money order, and cashier's check for the listed court payments. Exact cash is required because the clerk does not provide change. Money orders should be payable to 12th Judicial District Court. Credit cards are not accepted for those clerk payments according to the research file.
| Item | Fee |
|---|---|
| Civil cases | $132 |
| Domestic cases | $137 |
| Magistrate civil appeal | $132 |
| Magistrate criminal appeal | $25 |
| Municipal appeal | $10 |
| Photocopies | $0.35/page |
| Certification and seal | $1.50/pleading |
| Exemplified copies | $4.50/pleading |

The District filing and copy fee schedule is published on the Twelfth District fees and costs page.
Use the court fee page for court copies, not the county clerk recording schedule for deeds or plats.
Records Outside Court Clerk Custody
Some common public-record requests in Otero County sound court-related but belong elsewhere. Recorded instruments, deeds, mortgages, agreements, marriage licenses, election records, and county commission records are handled by the Otero County Clerk. County records can also involve the county's IPRA process. Driver history is held by New Mexico MVD, not by the court clerk. If a traffic case produced a court citation file, the court clerk may have the court record, but the MVD driver record is a separate file.
| Record Type | Primary Custodian | Why It Matters |
|---|---|---|
| District Court case copies | Otero District Court clerk | Court pleadings, orders, judgments, and audio requests. |
| Recorded instruments | Otero County Clerk | Deeds, mortgages, agreements, and recording indexes. |
| Marriage license copies | Otero County Clerk | The county clerk issues and records licenses. |
| Driver history | New Mexico MVD | MVD maintains the license record, not the court clerk. |
| County public records | Otero County IPRA custodian | Used for county records outside judiciary custody. |
The county clerk's recording requirements page is a county-record source, not a District Court copy source.
Recording requirements help identify when the request belongs with the county clerk rather than the court clerk.
New Mexico MVD driver and vehicle data access is also outside the court clerk's file system.
That source is relevant when the user needs a driver record instead of an Otero County traffic court case record.
Otero Court Online Access
Otero County court case data starts with New Mexico Case Lookup. The public portal covers New Mexico Supreme Court, Court of Appeals, District Court, Magistrate Court, Metropolitan Court, and Municipal Court data, but it does not provide court documents. District and Magistrate case information is updated daily and is current within 24 hours of entry into a court database. Cases filed before statewide automation was completed in June 1997 may be in a separate database depending on the court, so the clerk remains the fallback for older files.
Registered users may have access to re:Search NM depending on their role and access tier. Secure Court Case Access/SOPA requires credentials. Judiciary IPRA requests use the New Mexico Courts IPRA portal, while county or sheriff records outside court custody use Otero County's IPRA process. For traffic payments, the MVD eServices or court fines portal may help with payments, but payment pages are not official court records and do not replace the court clerk.
The MVD citation payment or eServices page shown in the manifest is payment-related and separate from certified court records.
For a certified traffic case document, request the court file from the proper court clerk rather than relying on a payment screen.
For recorded instruments and marriage licenses, use the Otero County Clerk instead of the District Court clerk.
